Incoming non-teaching Employee-Exchange

The ERASMUS+ programme promotes the mobility of administrative and other non-teaching staff at higher education institutions, enabling them to visit a partner higher education institution or company for the purpose of receiving training. FAU welcomes administrative staff from its partner universities.

The purpose of the training is to allow participants to learn from a partner institution through a transfer of knowledge or exchange of experiences and good practices, and thereby to acquire practical skills relevant for their current job and their professional development. The activities can be very varied and include seminars, workshops, courses, periods of practical training and job shadowing.

Types of Mobilities

FAU’s Central Office for International Affairs (RIA) offers an Erasmus Staff Week usually once a year in Erlangen in order to give the best possible idea of how the University organizes the administration of international collaborations and the international student population, for example.

Objectives

In our globalized world students need international and intercultural knowledge to ensure that they are prepared for the global labor market. Even students who do not go abroad will work in a multicultural atmosphere and universities need to know how to handle the challenges that this new demand brings. Lecturers and other staff members play an important role in the process and we show different examples of what can be done. The proposed staff exchange emphasizes what kind of preparation universities can provide their students with.

For our Staff Weeks, we are usually looking forward to welcoming staff from current and potential partner universities – especially administrative officers and teachers involved in the Erasmus program (e.g. Erasmus coordinators, International Office staff) and departmental staff with a suitable background in engineering. The next staff week will take place in Spring 2025 from 7th to 11th April and will focus und Diversity and Inclusion.

If you are interested in participating in an individual Erasmus staff training at FAU, please consult your home university first to find out their opinion regarding the exchange. This way you can acquire important information concerning the requirements of your home university regarding Erasmus staff exchange and possible funding options for participants coming from a program country (EU-member state country).

If you wish to undertake individual training at any department or service unit within FAU’s, please contact the international office by writing to mobility@fau.de and you should primarily contact the person in charge at the department directly. Since only they themselves can decide about their time and capacities. The international office can not host individual workshadowings.

If you find a colleague at our university who is available to host you and grant you insights in his/ her tasks, you can be invited and attend a very individual Erasmus Staff Training. In so-called job shadowing, you contact potential hosts, set the date and duration (usually between two and five days) and discuss the topics that can be worked on together with the target department or institution at FAU. Maybe there is a special plant species in our botanical garden you are very interested in? Or you simply want to look over the shoulder of your colleagues in another examination office and compare working techniques? We will be happy to advise you on suitable options and, if necessary, can put you in touch with our colleagues.

The Erasmus Grant Program for Staff Mobility for Training Purposes

Since 2007 not only students can take part in an Erasmus exchange but also employees. In the following topics you will be provided with further necessary information for an you as an incoming applicant.

This is not a 1:1 exchange program! However, the basic willingness to also receive a return visit should be present. Please also note that you must have appropriate language skills in order to be able to carry out your further education stay in a meaningful way. The Erasmus mobility grant does not include any insurance coverage. Therefore, you would have to take care of sufficient insurance coverage yourself for the duration of your stay abroad.

Please note that all participants are responsible for covering the cost of their own accommodation, travel and most meals.

Participants coming from a partner country (non EU-member state) may be eligible for funding through FAU if there is an agreement in place, if a fair and transparent selection process has been completed at the home university. It also depends on the availability of funds and the capacities of the hosting unit at FAU. Please contact us via mobility@fau.de to find out more.Partners from EU member states may be able to receive Erasmus funding for participating in this program from their home institution. Please contact your university’s Erasmus coordinator to find out whether this is a possibility.

Erasmus Staff exchanges for training purposes are open to staff at FAU’s current partner universities. If you are coming from a partner country (non EU-member state) we need to have a valid bilateral Erasmus agreement in place.

The main purpose of the visit must be a training connected to your job, although any additional time can be also spent on cultural activities.

Subsistence sum

The daily staff mobility subsistence rate for Germany is 160 € (days 1-14). From day 15, it is 112 € per day. The maximum duration is 60 days, including travel.

Additionally, a travel lump sum as a one-time payment can be granted. The amount is calculated according to the real distance travelled:

*For trips with a lower-emission means of transport (e.g. bus, train, car pool, ferry or combination thereof), the higher flat-rate travel expenses listed above can be paid for “Green Travel” and, depending on the days actually required, between 2-4 travel days can be offset against the total funding period.

The Staff Week at FAU usually lasts for 5 working days (from Monday to Friday).

Individual Trainings have to be agreed on individually with the respective host at FAU.

Participants from a non-EU member state (partner country) and who receive Erasmus funding from FAU must stay for at least 5 days.

For the participation to FAU’s Staff Week the next application deadline will be communicated accordingly.

For the participation as an individual Erasmus Staff Training:

Prior to departure

Once you have expressed your interest in attending an Erasmus Staff Training at FAU, please register on our application platform Mobility Online. You will receive the link to register via email. Via this platform we will provide you with all necessary information to make the preparations for your stay at FAU as well as with the required Erasmus documents (Mobility Agreement, program, etc.).

A program for an Erasmus training must be agreed upon by both the participant and the host at FAU. The schedule must describe the planned activities to be carried out with specific dates and needs to be signed by the host at FAU.Additionally, a Mobility Agreement for Training must be signed by all parties involved. Further information will be provided via the application platform Mobility Online.

On return:

  • confirmation of teaching program (the receiving chair at FAU will sign this document)
  • EU Survey training report form (online report link will be sent to participants by e-mail directly by the EU)

FAU provides participants with a list of hotels in Erlangen, Nürnberg and Fürth. Participants are free to book other accommodation if they wish.

Inclusion and equal opportunities are central concerns of the Erasmus+ program. FAU strives to enable the independent mobility of people with disabilities or chronic illnesses. If you will receive the Erasmus funding from FAU special additional funding can be requested from the Erasmus National Agency for university employees with a proven degree of disability (GdB) of 20 or more.

Please get in touch several months before your planned mobility so that we can submit an additional funding application (real cost application) to the Erasmus National Agency for you in good time 2-3 months in advance.For all people in need of special assistance please contact us in advance so that we can support you with practical preparations.

Stay abroad with child/ren

Similarly, parents should be given the opportunity to travel abroad with their child/children.

If you will receive the Erasmus funding from FAU (KA171) please contact us several months before your planned mobility so that we can submit an additional application for funding (real cost application) to the National Erasmus Agency for you in good time 2-3 months in advance.

For all parents coming with their child/ren, please contact us in advance so that we can assist you with additional needed preparations.
